Our third-party funding service

⇒ advises and supports all researchers at the faculty in applying for and initiating third-party funded projects

⇒ serves as the central contact point for questions related to projects in both the pre-award and post-award stages

⇒ It also helps in finding the right contact persons for all topics

⇒ It acts as an interface with the service units of the University of Vienna and various funding agencies

 Submission of Project Applications: Signature Regulations

Currently, all funding applications in the "ad personam" category (§ 26) and all § 27 project applications (contracts concluded with the research institution) with a budget of less than 100,000 EUR are submitted through the Dean's Office of the faculty.

§27-projects with a budget of ≥ 100,000 EUR must be submitted through the Research Services and Career Development unitDLE Forschungsservice und Nachwuchsförderung. This primarily applies to EU, FFG, ERASMUS+, and other similar projects. These applications will be reviewed by the staff of the Research Services unit and signed by the Rectorate.

⇒ Exceptions apply to certain FWF programs (see Uni Wiki Eintrag) - here, the budget threshold is 700,000 EUR. Only from 700,000 EUR onwards does the approval process involve the Rectorate:

Please always inform us about planned submissions, even if the Research Services unit is handling the application. This is necessary because the faculty must be involved in various phases regarding infrastructure (workspaces) and overheads.

FWF ELANE: SUBMISSION via elane in PROFI mode

As soon as you assign the application to the research institution/organizational unit, the Faculty of Historical and Cultural Studies, we can access the entered information and uploaded PDFs.

Please notify us briefly once the essential components of the application (project description, especially Annex 2) are available - please do not submit the application until it has been reviewed by the faculty.

The FWF is expected to transition all funding programs to PROFI by spring 2025. Currently, this affects the following programs: ESPRIT, Tausend Ideen, FG, DOC, DFH, COE, Individual Projects, SCP, Emerging Fields, ASTRA.

!! All applications in PROFI mode must be additionally electronically approved in elane by either the faculty or the Rectorate after your submission. However, this is not required for subsequent submissions.

 Application Process at the Faculty

  1. Please send the draft application (including budget calculation and relevant attachments) to our email address (drittmittel.hkw@univie.ac.at) for review before submission. The application will be checked for completeness, correct calculation, and adherence to formal criteria. Please send the application 2 weeks before the desired submission date or deadline. For FWF applications in PROFI mode, we can directly access everything in elane once the application is created and assigned to the FST. This means you do not need to send us the documents, but we appreciate a short notification to drittmittel.hkw@univie.ac.at - please only submit the application after it has been reviewed.
  2. Approval from the head of the institute/department must also be submitted. It is sufficient if the approval is given informally via email (confirmation that workspaces and infrastructure are available and that the application is supported).
  3. If you have doubts about whether the project can be carried out at the University of Vienna under the new chain contract regulations (§109), please request a check with the HR department, which we can arrange for you.
  4. After submitting the application, please send the documents to be signed by the Dean (e.g., cover sheet, consent), along with the final application, including the budget calculation, to drittmittel.hkw@univie.ac.at (exception: purely electronic submission via elane/FWF, such as for FWF ESPRIT, individual project applications, international projects).
  5. You will receive the documents signed by the Dean as soon as possible. Please allow at least 5 working days for processing original signatures.

What happens next?

  1. The application will be recorded in u:cris, including an upload of the application documents. The application documents can only be viewed by a small circle (responsible administrative staff) and are treated with strict confidentiality!
  2. Please inform us of the funding agency's decision as soon as you receive it. If the decision is positive, please send us the funding contract. If the decision is negative, please send us the date of the rejection.
  3. In the case of a positive outcome, the funding application will be recorded in u:cris as an approval and subsequently as a project. You will then receive an internal order number (IAN) from the DLE Finance Department via email for the processing of the project.
